Get Your Business Structurally and Tax-Ready From Day One
Step 1: Discovery Call (HERE)
This is not a sales call. It’s a working conversation.
During this call, we:
- Understand your business and current situation
- Identify pain points and gaps
- Discuss accounting systems and recordkeeping
- Review opportunities for improvement
- Determine what level of work is required
For business clients, we also begin outlining:
- Who is handling bookkeeping (you, prior bookkeeper, or us)
- How records are currently maintained
- What systems are in place (or missing)
At the end of the call, we’ll have a clear direction on next steps.
Step 2: Client Onboarding (TaxDome Portal)
After the call, you will receive an invitation to TaxDome.
This is where onboarding officially begins.
Inside the portal, you will:
- Sign your engagement agreement
- Receive a checklist of required items
- Upload documents and provide access
- Communicate securely with our team
- Submit your initial deposit
Typical access requests include:
- QuickBooks Online (or other accounting system)
- Bank and credit card access
- Prior tax returns and financial records
This step sets the foundation for all work moving forward.
Step 3: File Setup & Organization
We create a structured file system for your business using Box.
This is where:
- All business records are organized
- Workpapers are maintained
- Documentation is stored long-term
For personal tax matters, document exchange and communication remain inside TaxDome.
Step 4: Initial Review (Recorded + Delivered to You)
Once access is provided and onboarding is complete, we begin our initial review.
This includes:
- Reviewing your books and records
- Identifying errors, gaps, or inconsistencies
- Evaluating tax positioning and structure
We record this review and send it to you.
Why we do this:
- You see exactly what we see
- You can process complex information on your own time
- It eliminates unnecessary meetings
If needed, we schedule follow-up calls to go deeper on specific topics.
Step 5: Engagement Work Begins
After the initial review, we move into active work.
This may include:
- Bookkeeping cleanup or setup
- Tax review and planning
- System improvements
- Ongoing advisory
We use:
- UltraTax CS for tax preparation
- Internal AI tools to improve accuracy and efficiency
Billing Structure (Clear Expectations)
We operate on a prepaid model.
- Initial onboarding deposit: covers setup, access, and initial review
- Ongoing work is billed against prepaid time
Typical onboarding ranges:
- $1,000 – $3,000 depending on complexity
Rates:
- Bookkeeping work: billed at a lower rate $200
- Tax and advisory services: $330/hour
As time is used, additional deposits are requested as needed.
This ensures:
- No surprises
- Work progresses without delays
- Clear alignment on scope and cost
How We Communicate
- Detailed topics are often delivered via recorded videos
- Follow-up meetings are used only when necessary
- Most communication and document exchange happens through email, TaxDome, and Box
This keeps things efficient and avoids unnecessary back-and-forth.

Combined, our team brings over four decades of experience in accounting and tax.
